Overview

The College Assistant for the Ph.D. Program in Physics will provide administrative support to the Assistant Program Officer (APO) and Executive Officer.   Under the supervision of the APO, the College Assistant will carry out the duties necessary in the operation of the Ph.D. Program in Physics.  The Program has an enrollment of over 100 United States and international students. The faculty is based at the CUNY campuses and is drawn from 9 senior colleges. 
 
Duties and Responsibilities:

-Respond to email, telephone and in-person inquiries and requests from students, faculty, administration and public, in a professional and courteous manner
-Process incoming and outgoing mail
-Answer incoming telephone calls
-Prepare handouts, flyers, agenda, badges, etc. for program events, including orientation, open house, seminar, workshop, registration/advisement and committee meetings
-Make arrangements for refreshment and room setup in preparation for special events
-Distribute course evaluation forms to students. Tabulate completed forms.
-Process vendor invoices for payment
-Collect and tabulate student and faculty data and provide program statistics as per request of internal and external administrators
-Assist in maintaining and updating student, faculty and alumni paper and electronic files, websites and listservs
-Assist in the administration of the First and Second Examinations and Defense
-Assist in processing student forms
-Make copies, fax and scan documents
-Assist with other programmatic activities

Qualifications


Minimum Qualifications:
-High school diploma
 
Preferred Qualifications:
-Some college preferred
-Some computer skills preferred
-Prior office experience in academia or industry preferred
-Proficiency in Microsoft Office software, including Word, Excel, PowerPoint and Outlook. Some MS Access, Adobe  and other software desirable
-Knowledge of CUNYFirst desirable
-Strong web skills; to conduct searches etc.
-Strong organizational skills

Salary Range

$12.00 - 15.00 per hour

Hours

14-20 hours per week, flexible schedule
