The Ph.D. Program in English is seeking part-time assistance of a College Assistant. Under the direction of the Assistant Program Officer and the Executive Officer, the College Assistant will assist with daily operations of the office. Duties will include, but are not limited to:
-Answering and routing telephone and in-person inquires;
-Managing course evaluation process to ensure distribution and completion of evaluations and aggregates from student evaluation committee;
-Processing forms and receipts for faculty, student and guest speaker reimbursement/payment (for out of pocket expenses, honorarium, etc.);
-Updating and posting faculty contact information and office hours;
-Maintaining and ordering supplies;
-Filing documents in student, faculty and other folders;
-Completing and ensuring delivery of work study timesheets;
-Maintaining hub including the delivering of mail to faculty and student mailboxes, posting & removing notices from bulletin boards and tables, and updating mailboxes;
-Ensuring that the English Program website is up-to-date and complete;
-Handling AV, catering, and facilities requests;
-Assisting the Assistant Program Officer, Executive Officer, and Deputy Executive
Officers as needed.
-High School Diploma
-One year of office/administrative experience required; work experience in an academic or non-profit environment preferred.
-Proficient in Excel, Outlook and Adobe Pro. Experience maintaining websites a plus.
-Self-starter with flexibility to perform a variety of tasks.
-Ability to exercise discretion in handling sensitive and/or confidential matters on behalf of the Program.
-Good communication and interpersonal skills.
20 hours per week over 4 days, Monday-Friday, 9AM-5PM
