The PhD/MA Program in Philosophy is seeking part-time help to assist the Assistant Program Officer, Executive Officer, Deputy Executive Officer and the Director of Graduate Studies. Under the direction of the Assistant Program Officer and the Executive Officer, the College Assistant will assist with daily operations of the office. Duties will include, but are not limited to:
-General Office Support for Philosophy Program Office – Telephone skills, filing and file maintenance, faculty support as needed.
-Assist in coordinating weekly colloquia series of external speakers, including processing honorariums for speakers, room set-up requests and AV needs.
-Assist in handling AV and room set-up requests for additional Program events (i.e. conferences, seminars).
-Process forms and receipts for student and faculty reimbursements (for travel to professional meetings, out-of-pocket expenses for colloquia, etc.).
-Responsible for handling and updating the thesis room booking system. Assist in reserving the Programs thesis for exams and meetings (both internal and external).
-Assist in Visiting Research Scholar approval and account set-ups.
-Maintenance of office equipment and supplies inventory.
-Create and Maintain files for various Program data, especially student/faculty/alumni directories and mailing lists; assist the APO in the maintenance of student files; redesigning and updating/streamlining various forms for internal Program use; and additional special projects as assigned by the APO, EO, Deputy EO, and Director of Graduate Studies.
-High school diploma
-Some college a plus
-One year of office/administrative experience preferred.
-Excellent communication (written and oral) and interpersonal skills essential.
-Ability to exercise discretion and make informed judgment decisions in handling sensitive and/or confidential matters on behalf of the Programs faculty and students.
-Excellent computer skills (Mac and PC).
-Word Processing (MSWord) and database (Excel) skills.
-Excellent clerical skills (i.e. filing organization and attention to detail).
-Flexibility in performing and prioritizing a variety of tasks according to need.
$15.00 per hour
20 hours per week
