The Advanced Science Research Center at the Graduate Center of the City University of New York (CUNY ASRC) elevates scientific research and education at CUNY and beyond through initiatives in five distinctive, but increasingly interconnected disciplines: environmental sciences, nanoscience, neuroscience, photonics, and structural biology. The CUNY ASRC promotes a collaborative, interdisciplinary research culture with renowned researchers from each of the initiatives working side-by-side with undergraduate and graduate students in the ASRC’s labs and core facilities, sharing equipment that is among the most advanced available. The CUNY ASRC also invites and collaborates with researchers from all CUNY campuses to take advantage of its facilities and resources to advance interdisciplinary scientific research across the University. Importantly, the CUNY ASRC also engages in K-16+ STEM education, including pipeline programs, workforce development, and outreach to the public to promote science literacy, engagement, and empowerment and advance science-based policy and STEM education in partnership with local public schools, community groups, and CUNY community and senior colleges. The ASRC is seeking a part-time College Assistant to perform various administrative tasks in support of virtual and live events for our internal and external audiences, including students, faculty, postdocs, the NYC STEM community, local community members, and other stakeholders. The ideal candidate for this position will be highly organized and comfortable developing and managing systems that will ensure timely execution of high-quality events.

This part-time position is for 20 hours per week.

Reporting to the ASRC’s Director of Operations, the College Assistant will:

  • Assist the ASRC leadership, communication and outreach staff, and advancement officer with execution and promotion of events that support educational, outreach, and fundraising activities.

  • Schedule and support major ASRC events, including seminars, symposia, conferences, workshops, receptions, VIP meetings, tours, and others, and manage a master events and room usage calendar, internally and on the web.

  • Set up and coordinate event details, including day-of execution, and track attendance.

  • Coordinate catering and support services such as custodial, IT media services, and facilities requests needed for events, including setup of poster boards, tables, chairs, microphones, and other furniture and equipment; help to coordinate volunteers and other staff support for events; ensure proper setup and breakdown of events.

  • Prepare and distribute event announcements, invitations and promotional materials.

  • Maintain mailing lists, databases, guest lists and registrations.

  • Communicate with invited speakers, panelists, other participants, and attendees regarding event details and logistics; assist with preparing speakers and other participants for events.

  • Prepare and conduct post-event surveys.

  • Promote an inclusive and equitable environment for all students, faculty, staff, and guests of the ASRC.

  • Perform other duties as assigned.



  • Must demonstrate sufficient skills to perform the duties of the assigned tasks.


A preferred candidate should have:

  • Proficiency in MS Office applications, Zoom, and graphic design tools.

  • Familiarity with Sales Force and Pardot software and AV event support.

  • Ability to work closely with IT to troubleshoot and manage live and virtual events elements.

  • Excellent customer service; verbal and written communications, time management, and organizational skills, and attention to detail.

  • Strong work ethic, high degree of professionalism, judgment, and personal integrity.

  • Ability to participate in events outside the workday schedule, including early mornings, evenings, and weekends, when needed.

  • Ability to work independently and as part of a team.
