College Assistant

Description

Under the direction of the Assistant Program Officer and the Executive Officer, the College Assistant will assist with daily operations of the office.  Duties will include, but are not limited to:

  • Answering and routing telephone and in-person inquires;
  • Updating and posting faculty contact information and office hours;
  • Maintaining and ordering supplies;
  • Filing documents in student, faculty and other folders;
  • Completing and ensuring delivery of work study timesheets;
  • Completing and ensuring delivery of faculty timesheets;
  • Maintaining hub including the delivering of mail to faculty and student mailboxes, posting & removing notices from bulletin boards and tables, managing locker program, and updating mailboxes;
  • Ensuring that the English Program website is up-to-date and the availability of Program/School related print materials (handbooks, add/drop forms, change of grade forms, bulletins, etc);
  • Managing course evaluation process to ensure distribution and completion of evaluations and aggregates from student evaluation committee;
  • Processing forms and receipts for faculty, student and guest speaker reimbursement/payment (for out of pocket expenses, honorarium, etc.);
  • Handling AV, catering, and facilities requests;
  • Assisting the Assistant Program Officer, Executive Officer, and Deputy Executive Officers as needed.

Qualifications

Minimum Qualifications: 

  • High School Diploma
 Preferred Qualifications:
  • One year of office/administrative experience preferred; work experience in an academic or non-profit environment preferred.
  • Proficient in Excel, Outlook and Adobe Pro. Experience maintaining websites a plus.
  • Must be flexible to perform a variety of tasks; Must take initiative.
  • Ability to exercise discretion in handling sensitive and/or confidential matters on behalf of the Program.
  • Good communication and interpersonal skills.

Salary Range

$12.00 - $14.00 per hour

Hours

20 hours per week over 4 days, Monday-Friday, 9AM-5PM
